Give the exact model its own entry

GOV.UK's energy-information guidance describes the product information sheet supplied with regulated appliances. Save that sheet under the exact model reference, together with the official manual link. A broad brand folder can be useful for organisation, but it should not replace a record identifying the actual appliance.

The refrigerator badge photograph makes this distinction visible: the maker's name does not identify a particular capacity, installation drawing or energy figure. Record the full reference from reliable product information. If a suffix or variant differs between the order and the document, resolve it rather than assuming the difference is cosmetic.

Separate the document types

Keep operating instructions, installation instructions, the energy label and the product information sheet as separate entries where they are separate documents. Add the seller's quotation and service scope without treating them as technical instructions. Each document answers a different kind of question and may be updated independently.

The washing-machine drum photograph is visual context, not a manual or a measurement source. A photograph of an appliance can help recognise it, but it cannot substitute for the information needed to choose a programme, confirm a capacity or arrange installation. Label any photo in the record according to what it actually shows.

Preserve units and dates in copied notes

Energy Saving Trust explains that washing-machine and dishwasher electricity figures use a per-100-cycle basis. If you copy a value into your own record, keep the unit and programme context with it. Add the date you checked the source rather than presenting an old note as a newly verified specification.

For a hypothetical inventory of four appliances, suppose three have an exact model reference and all required documents linked. That is 75% of the inventory, leaving one incomplete entry. The percentage describes record completeness only; it is not a score for the safety, efficiency or condition of the appliances.

Keep installation answers attached to the model

Bosch's fridge-installation guidance says requirements can vary by model and directs readers to the specific manual. Save any written supplier or installer clarification with the relevant model entry, including the question that was answered. A general response may not apply after the model or intended location changes.

The open dishwasher photograph illustrates why an access question can be specific to a door and rack arrangement. It is not an installation drawing. Record measured dimensions separately from required dimensions so that a later reader can see which values came from the property and which came from the manufacturer.

Maintain the record when equipment changes

Mark an old appliance entry as retired when it is replaced, and create a new record for the replacement. Keep receipts and private identifiers in an appropriate private location rather than publishing them with a general question. Share only the details needed by the legitimate support channel.

As an illustrative preparation allowance, 5 minutes to check each of four entries plus 10 minutes to organise missing documents totals 30 minutes. Those are assumed timings, not a guarantee that every document can be found quickly. The useful result is a small reference that stays connected to the actual equipment, with missing information clearly marked instead of filled from memory.
